Advanced Happy Halloween! Only a few days to go before the SEAYAC Meeting. Here are some additional information for the SEAYAC Meeting. There are new sheets in the Google Docs that you need to fill up to facilitate an organized meeting. Feel free to send us an email if you have other questions or clarifications.

There is a new and separate sheet for your arrival and departure information. Please write your arrival date, time and flight number as well as for your departure details. This is to ensure that a member of the LOC will be at the airport to meet you upon arrival. Please look for the person holding the SEAYAC sign upon exiting Puerto Princesa Airport.

Please see the Google Docs for your room allocation (on a separate sheet in the doc file). Please contact your roommate as soon as possible so you can get to know each other prior to your arrival. The hotel informed me of some booking issues, hence some participants are allotted to single rooms.

Although these rooms are pre-blocked by SEAYAC, you still have to contact the hotel reservation for confirmation details. If you have a credit card, you can prepay your room. Please contact Ms. Anna Tadique, Reservations Officer of Legend Hotel, (+63)9178601821. She can also be reached thru her email add anna_t@legendpalawan.com.ph <mailto:anna_t@legendpalawan.com.ph> . PLEASE CONTACT HER ASAP. Mention that your reservation is under the allocation for the Southeast Asian Young Astronomers Collaboration (SEAYAC). Please note that the info on ROOM column in the Room Assignment Sheet is just to help the LOC keep track of how many rooms are needed. THIS IS NOT YOUR ROOM NUMBER. You will be informed of your room number by Ms. Tadique or upon check in, so email her as soon as you can. =) Only one person per room will need to contact Ms. Tadique.

There is a swimming pool which we are free to use so don’t forget to bring your swimming attire. Also, there are some karaoke rooms available for rent so start practicing those singing voices! =)

Please see the Google Docs regarding the presentation schedule (on a separate sheet). Each presentor will be given 20 minutes (15 minutes presentation proper, 5 minutes question and answer) each. Lecturers will be given 1 hour (40-45 minutes presentation proper, 15-20 minutes question and answer). Please prepare your presentations in PPT or PPTX format. Note that you can use your own computers but the setup time (and troubleshooting time if any) will be taken from your time allocation. We will be strict with the time allotted for each presentor for a smooth flow of the meeting. Should anyone want to bring posters of their research work, you can put them up during the meeting. Limited space for posters are available so please inform any LOC member should you wish to put up one.

FUNDING SUPPORT AND REIMBURSEMENT (for Indonesian, Thai and Vietnamese presentors only)
As mentioned in the previous email, funding for registration fee and accommodation will be on a reimbursement basis. Please make sure you have the following information prior to your departure from your home country. Also, kindly bring a photocopy of your bank passbook (if any) to avoid any confusion regarding the details.

Upon arrival at Manila, you can purchase a local mobile phone SIM cards for only 50 pesos at the airport. Look for SMART or Globe telecom kiosks in the arrival area. You will need to purchase prepaid credit. Minimum amount for prepaid credit is 100 pesos which is good for approximately 100 local text messages (1 peso per text message).  Once you activate the SIM, please inform the LOC that you have arrived at Manila. Also please send a message once you are boarding your flight to  Palawan or if there are any flight delays. This would greatly help the LOC member who will meet you at the airport. Don’t forget to mention your name in your first text message! =)
